Email Services - Frequently Asked Questions
Do you provide additional email security and spam protection services?
Yes, we do provide add-on services for Office 365 email accounts that provide additional layers of security against phishing emails, hacking attempts, junk emails, and virus attachments.
Our email protection solutions use advanced AI to scan all incoming and outgoing emails to automatically identity supplier fraud invoices, and other sophisticated scam emails.
All legitimate emails will get through, and all suspicious emails will automatically be quarantined and not enter your network, keeping your business secure from all outside threats.
Do you provide email backup solutions?
Yes, we provide various email backup solutions for office 365 emails. Most customers believe office 365 is very reliable, … and it is.
However, Microsoft does not automatically backup emails in the case of accidently deleted emails, lost or corrupted data outside the 93-day window.
If your business is hit with a ransomware attack, all your email accounts may become inaccessible and corrupted. If you have email backups in place, this gives you insurance against cyber attacks with almost no interruption to your business.
Our business uses google workspace for emails, and we have a lot of problems. Can you migrate us to Microsoft 365 for emails?
Yes, we can help migrate your emails from Google Workspace to Microsoft 365. A lot of businesses have issues with Google workspaces that can include email deliverability problems, wrong emails getting marked as spam and apps not being natively supported by Microsoft office.
Currently our emails do not sync across all our devices. Can you fix this?
Yes, we can fix this. Email syncing issues can mean your email accounts have been wrongly configured or your email hosting provider is having technical issues.
We would need to check your email accounts, and settings on each of your devices. From there we will be able to advise you on the best solution.
Our current email hosting provider can be very unreliable; can you recommend a reliable email service?
Yes, we recommend using Microsoft 365 for business emails, as they are the most reliable email provider and provide 24/7 support.
If you are using a free email account such as Gmail, Hotmail, Outlook.com, Telstra or Optus, we recommend migrating your emails to Microsoft 365.
We have our business emails with a cheap domain hosting company, and have continuous issues, can you advise who we should switch to?
Yes, we recommend using Microsoft 365 for business emails, as they are the most reliable email provider. All of your email issues will disappear and be a thing of the past.
What is the difference between a POP3, IMAP and Microsoft 365/Exchange email account?
POP3 email accounts have been around since the early 1990’s and was designed mainly for one device/computer. All emails are stored on the server and then downloaded to your computer via an email program such as outlook.
There is no ability to sync emails across devices, or sync contacts or calendars.
IMAP emails accounts are similar to POP3 email accounts, but allow users to sync their emails, folders and sent items across devices.
Microsoft Exchange email accounts are business-grade email accounts that allow you to use a name@businessname.com.au name, and allow you to sync your emails, contacts and calendars across devices.
Exchange email accounts are currently the gold standard in business emails and also offer additional features such as spam and email filtering, email rules and automation and works directly with Microsoft outlook.
My current email account does not let me sync my calendar across my devices; can you fix this?
Yes, this may mean the email account is a POP3 or IMAP email account. We will need to migrate this email account to Microsoft 365, as only Microsoft email accounts allow calendar syncing across devices.
Does Microsoft 365 emails have 2 Factor authentication?
Yes, Microsoft 365 emails support two-factor authentication (2FA), also called multi-factor authentication (MFA), as an added layer of security.
It requires a second form of verification, like a code from an authenticator app or a text message, in addition to your password when you sign in. Microsoft is also making MFA mandatory for many of its services.
My current business email account gets a lot of spam and junk emails. Can you fix this?
Yes, we can help with your spam email issues.
This is usually caused by three different factors.
- You may have an email account that has been signed up to a lot of newsletters, or your email account has been sold off to spammers.
- Your email provider has a very basic spam filter or no spam filter at all.
- You may need additional anti-spam protection for your email account.
I have been using a Telstra webmail account for my business; however, the account was hacked. Can you help me?
South East IT does not recommend using a free webmail account such as Telstra webmail to use for business purposes.
Telstra webmail accounts have very limited support, have no backups, and essentially are not designed for business use. When something goes wrong with your account, there is very little Telstra can do for you.
We always recommend having a paid, business-grade email account.
What is the most secure email platform to use for business?
The most secure email platform is using Microsoft 365 and using Proof Point email protection on top. The combination of these two services will make your emails extremely secure and eliminate any risks or challenges you may have encountered in the past.
