We receive dozens of new enquiries each year, of companies that used a cheaper business to do their email migration and things were overlooked and the client was not happy. SouthEast IT then took over the job and pushed the migration to completion.

One of the biggest reasons your business will need to do an email migrations is when you have technical issues with your existing email provider.

For example, Crazy Domains are notorious for having email issues and many customers move away from them. Technical issues can include, emails are not delivered, send and receive errors and email syncing problems.

Also, a lot of email providers only provide IMAP email accounts, which don’t allow calendar syncing across devices.

A lot of domain hosting companies simply are not able to provide reliable email services, as their margins are razor thin and they simply do not invest into their email infrastructure.

As the old saying goes, you get what you pay for.

SouthEast IT has performed well over 50 + email migrations for small, medium, large and enterprise clients.

We are currently performing 2-3 email migrations per week.

There are a number of risks with email migrations. They include:

  1. Poor planning and project management – if the IT company that is doing the email migration is inexperienced, they will overlook certain things and this will cause big issues when the migration is complete.
  • Disruption to your business – email migrations will cause some minimal disruption to your business. If not managed by a professional IT company, it can cause weeks of delays and disruptions.
  • Scope Creep – If you don’t perform an email Audit perform quoting an email migration, and specifically mention what is included and excluded, this can cause friction and issues after the email migration – as client expectations may not match.
  • Neglecting to Ask the Right Questions – Remember the adage “if you fail to plan, you plan to fail”? That absolutely holds true with email migrations.

Planning involves gathering the right information up front and asking the important questions. Some critical questions to ask include: ‘What information needs to be moved to the new system, and what information should be deleted or moved to an archive?’

Properly project managing an email migration is essential to prevent data loss, security breaches, and prolonged downtime.

It ensures a smooth, organized transition by coordinating all technical steps like DNS updates, managing user expectations, and establishing contingency plans for risks and technical issues.

A structured approach minimises user disruption, maintains business continuity, and can even lead to cost savings through optimised licensing.

The largest email migration we have done is 85 mailboxes.

The time frame to complete an email migration will be dictated by a number of factors including: The number of mailboxes, the size of the mailboxes.

For a basic email migration of 3-5 mailboxes this can usually be done in a coupe of days.

For more advanced email migrations with 25-30 mailboxes, this can take up to a few weeks.

SouthEast IT recommend Office 365 for email. It is the most reliable, secure and compatible email platform available. It is the gold standard in email.

Gmail email is a basic free email account, that does not look professional when sending emails. There is no technical support or service guarantees, and it will not work with a lot of 3rd part service providers.

Google do have a business version of Gmail called Google Workspaces.

Web hosting email will eventually have technical issues like sending or receiving errors. Web hosts are notorious for not investing in their email systems.

IMAP emails are stored both on the service (cloud) and all the clients devices. An IMAP email migration is straightforward.

POP3 email accounts can be tricky as most of the emails are downloaded from the server and stored on one device. If you don’t manage a POP 3 email migration correctly, data can go missing, as sent items from other devices will need to be uploaded during the migration.

During an email migration, your existing email data, including messages, attachments, and folders, is transferred to a new system.

Your contacts, calendar items, and tasks may also be migrated, but this depends on the specific migration method used and the new provider.

The process typically includes moving all messages and their read/unread status to the new location, preserving attachments (with certain size and file type limitations) and folder structures

Yes, we provide post-migration IT support as it’s crucial for an email migration to ensure a smooth transition. This support includes making sure all the mailboxes are working fine, updating software such as outlook, and providing any user training.

The cost of an email migration can vary on the following factors:

Additional services: The cost can increase if you require additional services like configuring new software (e.g., Microsoft Outlook), updating DNS records, or data validation.

Number of users/mailboxes: This is the most significant factor. Costs are often tiered, with a lower price per mailbox for a larger number of users.

Volume of data: Migrating large amounts of historical data can increase the complexity and therefore the cost.

Source and target providers: Migrating between different platforms (e.g., Webmail to Microsoft 365) can have a different price point than migrating between similar platforms (e.g., cPanel to cPanel).

Complexity: The complexity of your current email system and any custom setups will affect the time and effort required, which drives up the price.

Level of service: DIY tools or basic services are cheaper than fully managed, end-to-end migration services that include planning, execution, and post-migration support.
