Alright, let’s talk about the stuff that really drives small business owners bonkers when it comes to SharePoint—because while it’s powerful, it’s not without quirks.

 If you’ve ever shouted at your screen because a file won’t open, a folder vanished, or a colleague can’t access something they absolutely should be able to… you’re not alone.

Let’s break down some of the biggest SharePoint frustrations and how to solve them (or better yet, avoid them entirely with a good setup from the start).

“We couldn’t find the file you wanted”

“We couldn’t find the file you wanted. It’s possible the file was renamed, moved or deleted.”

New files not showing up right away is a common hiccup—especially when syncing with OneDrive or accessing SharePoint through File Explorer.

Sometimes files get stuck syncing, or SharePoint search indexing is just having a slow day.

Fix it:

And hey, don’t panic—it’s usually there. It’s just being dramatic.

Always refresh or check via the SharePoint web view to confirm it’s there.

If using OneDrive sync, check the sync status icon (blue cloud, green tick, or red X).

The Specified file/folder/item are too long

“The specified file/folder/item names are too long”

Ever tried to rename a file in SharePoint and got an error message so cryptic it felt like a riddle from an old-school video game?

This usually happens because:

  • The file is open in someone’s app
  • The filename is too long
  • It contains unsupported characters
  • Or it’s just not your day

Fix it:

  • Keep file names short and sweet.
  • Avoid weird characters like * % # ? and never go full Shakespeare with 400-character file paths.
  • The file size limit for uploads is 250GB
  • Each segment of a path cant exceed 255 characters if files are synced to a PC or Mac
  • The length of the root folder in OneDrive, or synced SharePoint library, plus the relative path of the file (up to 400 characters) cannot exceed 520 characters
  • In SharePoint Server, the entire path of files can’t exceed 260 characters
  • Thumbnails are not generated for images larger than 100 MB
  • PDF previews are not generated for files larger than 100 MB

Access errors can be caused by:

  • Broken inheritance (folder-level permissions overriding site permissions)
  • Deleted or moved files that still show in search
  • External users not being properly added

Fix it:
Check if the user is logged into the correct Microsoft 365 account. Double-check folder-level permissions. Better yet, use group-based access instead of sharing manually with individuals—it’s safer and cleaner.

SharePoint Online is a fantastic platform, but like any tool, it comes with quirks.

If you’ve been Googling things like:

“Why won’t OneDrive sync my files?”

“Too many files in SharePoint library”

“Can’t move folders in SharePoint Online”

“File locked by another user in SharePoint”

…then you’re probably bumping into one of SharePoint Online’s built-in limitations or quirks. Many of these aren’t bugs—they’re design constraints that, when overlooked, can cause serious frustration for your team.

Below are the top limitations small businesses often face when switching to SharePoint Online—plus practical tips to avoid or fix them.

Too Many Items in One Library (The 5,000 View Limit)

SharePoint libraries can hold thousands of items, but once a view tries to show over 5,000 items, performance takes a hit. You may notice slow load times, sync errors, or trouble managing files—especially if your team is syncing to local devices.

What You’ll Notice:

  • Slow performance in large libraries
  • Files not syncing with OneDrive
  • Errors when renaming, moving, or changing permissions

What You Can Do:

  • Limit libraries to 20,000–30,000 files
  • Use multiple libraries or spread content across sites
  • Apply metadata and filters to keep views under the 5,000 limit

Windows 256-Character Path Limit (When Syncing)

Even if SharePoint accepts your file structure, your PC might not. Windows has a 256-character path limit when syncing files via OneDrive, which leads to sync issues and file access problems.

What You’ll Notice:

  • Can’t create or rename folders
  • Sync errors or incomplete folder downloads

What You Can Do:

  • Avoid syncing deep folder structures
  • Flatten your folder layout
  • Use metadata in place of long file paths

The 93-Day Recycle Bin Limit

Deleted something in SharePoint? You’ve got 93 days to restore it—after that, it’s gone for good unless you have a backup system in place.

What You’ll Notice:

  • Files missing long after accidental deletion
  • No way to recover items past the 93-day window

  • Train staff to restore files before time runs out
