The Proven Power of SharePoint for Growing Businesses
As your business grows, so does the complexity of managing sensitive data and ensuring the responsible use of technology.
Without the proper policies in place, you risk exposing your business to a variety of security threats, from data breaches to misuse of company resources.
Managing your business documents shouldn’t feel like a scavenger hunt.
If your files are scattered and collaboration feels chaotic, it might be time for a better solution.
In this blog, we’ll break down how SharePoint can help small businesses like yours simplify workflows, boost productivity, and stop wasting time on avoidable tech headaches.
SharePoint isn’t just another tech buzzword,
It’s one of the most powerful tools a small business can use to collaborate better, save time, and stop playing “The Great File Hunt”.
Seamless collaboration and efficient communication are the backbone of any successful business.
SharePoint, Microsoft’s powerful intranet solution,
brings teams together by centralising company information, streamlining workflows, and enhancing productivity.
SharePoint supports content management, intranet portals, and internal communications to help streamline workflows and improve productivity.
Whether you’re a small business or a growing enterprise, a well-structured SharePoint intranet can revolutionise how your team connects and collaborates.
What Is SharePoint, Anyway?
SharePoint is like your digital office filing cabinet, meeting room, and water cooler—all in one.
At its core, SharePoint is a secure, cloud-based platform that allows your team to store, organise, share, and access information from almost any device.
It’s part of Microsoft 365, so if you’re already using that, you’re halfway there without even knowing it!
Think of it like this: instead of having files spread across someone’s desktop, an old USB stick, and a random Google Drive account from 2015, everything lives in one central, searchable, secure hub.
So, Why Should You Care?
If you’ve ever:
- Spent 15 minutes hunting for “final FINAL v3.docx”
- Needed to collaborate on a document, only to have three people send different versions back and forth
- Had a mild panic attack because you weren’t sure if a file was backed up
- Wanted to give someone access to files without forwarding 16 emails
Then SharePoint is your new best friend.
It’s your central hub for files, folders, and teamwork.
Say goodbye to version chaos, mystery file hunts, and endless email chains. With SharePoint, you can:
Store files in one secure, organised place
Collaborate in real-time without creating version soup
Control who can see what, with smart sharing options
Rest easy knowing your documents are always backed up
SharePoint makes teamwork simple, secure, and seamless.
And honestly? Once you get the hang of it, you’ll wonder how you ever worked without it.
Big Business Benefits, Small Business Friendly
Here’s what you get with SharePoint (minus the migraines):
Better Security
Keep your sensitive business files safe with built-in access controls and user permissions.
Only the right people see the right things.
Version Control (aka No More File Chaos)
SharePoint tracks every edit, so if someone “accidentally” deletes your pricing table, it’s easy to roll back.
Access from Anywhere
Whether your team is working from home, the café, or a hammock in Byron Bay, everyone stays connected to the same files and folders.
Better Collaboration
Work on the same document at the same time—no more “Please don’t open this while I’m editing!” messages.
Custom Workflows and Automation
Set up approval workflows, task tracking, or even dashboards. It’s like hiring an admin assistant without the extra payroll.
Okay, But Isn’t It Complicated?
Great question!
On its own, SharePoint can feel a bit overwhelming.
It’s incredibly powerful, which means there are lots of ways to use it—but also lots of ways to set it up wrong.
That’s where having an IT MSP (like us 👋) changes the game.

Sharepoint Issues
Alright, let’s talk about the stuff that really drives small business owners bonkers when it comes to SharePoint—because while it’s powerful, it’s not without quirks.
If you’ve ever shouted at your screen because a file won’t open, a folder vanished, or a colleague can’t access something they absolutely should be able to… you’re not alone.
Let’s break down some of the biggest SharePoint frustrations and how to solve them (or better yet, avoid them entirely with a good setup from the start).
“We couldn’t find the file you wanted”
“We couldn’t find the file you wanted. It’s possible the file was renamed, moved or deleted.”
New files not showing up right away is a common hiccup—especially when syncing with OneDrive or accessing SharePoint through File Explorer.
Sometimes files get stuck syncing, or SharePoint search indexing is just having a slow day.
Fix it:
And hey, don’t panic—it’s usually there. It’s just being dramatic.
Always refresh or check via the SharePoint web view to confirm it’s there.
If using OneDrive sync, check the sync status icon (blue cloud, green tick, or red X).
The Specified file/folder/item are too long
“The specified file/folder/item names are too long”
Ever tried to rename a file in SharePoint and got an error message so cryptic it felt like a riddle from an old-school video game?
This usually happens because:
- The file is open in someone’s app
- The filename is too long
- It contains unsupported characters
- Or it’s just not your day
Fix it:
- Keep file names short and sweet.
- Avoid weird characters like * % # ? and never go full Shakespeare with 400-character file paths.
- The file size limit for uploads is 250GB
- Each segment of a path cant exceed 255 characters if files are synced to a PC or Mac
- The length of the root folder in OneDrive, or synced SharePoint library, plus the relative path of the file (up to 400 characters) cannot exceed 520 characters
- In SharePoint Server, the entire path of files can’t exceed 260 characters
- Thumbnails are not generated for images larger than 100 MB
- PDF previews are not generated for files larger than 100 MB
“You Don’t Have Permission to Access This Item” (Even Though You Do)
“You Don’t Have Permission to Access This Item.”
This one deserves its own stress ball.
Access errors can be caused by:
- Broken inheritance (folder-level permissions overriding site permissions)
- Deleted or moved files that still show in search
- External users not being properly added
Fix it:
Check if the user is logged into the correct Microsoft 365 account. Double-check folder-level permissions. Better yet, use group-based access instead of sharing manually with individuals—it’s safer and cleaner.
SharePoint File Size Limits
“The file size exceeds the limit allowed and cannot be saved”
Sharepoint Limitations every small business should know
SharePoint Online is a fantastic platform, but like any tool, it comes with quirks.
Understanding these common limitations can help your business avoid disruptions, reduce IT headaches, and make the most of your cloud environment.
If you’ve been Googling things like:
“Why won’t OneDrive sync my files?”
“Too many files in SharePoint library”
“Can’t move folders in SharePoint Online”
“File locked by another user in SharePoint”
…then you’re probably bumping into one of SharePoint Online’s built-in limitations or quirks. Many of these aren’t bugs—they’re design constraints that, when overlooked, can cause serious frustration for your team.
Below are the top limitations small businesses often face when switching to SharePoint Online—plus practical tips to avoid or fix them.
Too Many Items in One Library (The 5,000 View Limit)
SharePoint libraries can hold thousands of items, but once a view tries to show over 5,000 items, performance takes a hit. You may notice slow load times, sync errors, or trouble managing files—especially if your team is syncing to local devices.
What You’ll Notice:
- Slow performance in large libraries
- Files not syncing with OneDrive
- Errors when renaming, moving, or changing permissions
What You Can Do:
- Limit libraries to 20,000–30,000 files
- Use multiple libraries or spread content across sites
- Apply metadata and filters to keep views under the 5,000 limit
Windows 256-Character Path Limit (When Syncing)
Even if SharePoint accepts your file structure, your PC might not. Windows has a 256-character path limit when syncing files via OneDrive, which leads to sync issues and file access problems.
What You’ll Notice:
- Can’t create or rename folders
- Sync errors or incomplete folder downloads
What You Can Do:
- Avoid syncing deep folder structures
- Flatten your folder layout
- Use metadata in place of long file paths
The 93-Day Recycle Bin Limit
Deleted something in SharePoint? You’ve got 93 days to restore it—after that, it’s gone for good unless you have a backup system in place.
What You’ll Notice:
- Files missing long after accidental deletion
- No way to recover items past the 93-day window
How to Protect Your Data:
- Train staff to restore files before time runs out
- Set up Retention Policies
- Invest in a third-party backup solution
